This Privacy Policy explains how Jobifilla, based in Florida, United States, collects, uses, stores, and shares personal data when you use the Jobifilla platform, portals, and services.

1. Data We Collect

Account information: name, email address, password (stored as a secure hash), phone number, role, and login records. Candidate profile: country, city, time zone, qualifications, field of study, experience, designation, preferred categories, availability, notice period, compensation expectations, working hour preferences, skills, education records, employment history, and professional links such as LinkedIn, GitHub, Behance, Vimeo, YouTube, Google Drive, and portfolio websites. Documents: resumes, cover letters, certificates, portfolio files, and supporting documents including their extracted text. Portfolios and external portfolio URLs that you choose to add. Applications: answers to screening questions, selected portfolios, application snapshots, and status history. Employer information: company details, representative details, billing address, hiring requirements, vacancies, and team member accounts. Interview data: interview recordings (video and audio), transcripts, AI assessment data, evidence extracts, scores, human review notes, and interview integrity events such as tab or focus changes. Communications and support: messages, support tickets, contact forms, and enterprise inquiries. Subscription and payment records: plan, status, billing dates, payment provider references, customer and subscription identifiers, and invoices. We do not store full card numbers. Employee records for managed staff: contracts, attendance, timesheets, leave, payroll records, and payslips. Technical data: IP address, browser and device information, and audit logs.

2. How We Use Data

To operate accounts and subscriptions, publish and manage vacancies, match candidates to roles, perform screening and AI assisted assessment, conduct and evaluate interviews, coordinate hiring, administer workforce and payroll records, issue invoices, provide support, send service notifications, protect security, meet legal obligations, and improve the Platform. AI features are used as decision support and are subject to human review.

3. Cookies

The Platform uses essential session and security cookies required for login and form protection. Optional analytics or marketing cookies are used only if enabled and disclosed in the Cookie Policy.

4. Sharing

Candidate data is shared with Jobifilla staff involved in recruitment and, according to the applicable confidentiality and workflow rules, with the employer for the vacancy you applied to. Employer information is shared with candidates only when disclosure is authorized. We use third party service providers for hosting, email delivery, payment processing, AI processing, transcription, and optional login providers, each acting under contractual confidentiality. We may disclose data where required by law.

5. International Operation

Jobifilla serves candidates and employers in many countries. Data may be processed in the United States and in the countries where our service providers operate. We apply appropriate safeguards for such transfers.

6. Data Retention

We keep data for as long as your account is active and as needed for the purposes above, legal requirements, dispute resolution, and audit. Retention periods for profiles, applications, resumes, portfolios, interview recordings, transcripts, employer documents, employee files, support tickets, and audit logs are configured in our retention schedule and may be requested from us.

7. Security and Access Controls

We use encrypted connections, hashed passwords, role based access control, private document storage with authenticated download controls, audit logging, and administrator multi factor authentication. No system is perfectly secure and you should protect your credentials.

8. Your Rights and Data Requests

Depending on your location you may have rights to access, correct, export, restrict, or delete your personal data, and to withdraw interview recording consent. You can update your profile and communication preferences in your account and submit deletion or export requests through the Privacy Center or by emailing us. We will respond within the period required by applicable law.

9. Children

The Platform is not intended for individuals under 18.

10. Changes

We may update this Policy. Material changes will be notified through the Platform or by email.
